Your privacy is important to us at GuruNow.ai. We respect your privacy regarding any information we may collect from you across our website.

1. Important Information and Who We Are

Purpose of this Privacy Policy: Welcome to the privacy policy for GuruNow.ai (“GuruNow”, “we”, “us”, or “our”). GuruNow provides an avatar-led, AI-driven micro-learning and skills development platform (accessible via web, mobile and virtual reality (VR) devices) to help you develop professional skills. 

This policy explains how we collect, use, and share your personal data when you use our platform. It is directed at individual users of GuruNow, including employees using GuruNow through their employer. 

Controller and Processor Roles: Depending on how you access GuruNow, we may act as either a “data controller” or a “data processor” of your personal information:
 

  • If you signed up to GuruNow directly (for example, as an individual learner), GuruNow is the data controller responsible for your personal data.

  • If you are using GuruNow as part of your employment (i.e. your employer enrolled you or provided your details to us), your employer is typically the primary data controller. In this case, GuruNow acts as a data processor, processing your data on your employer’s behalf and instructions. We will only use your data for providing the skills development services to you and your employer, and your employer’s own privacy policies may also apply.

  • However, even when we act as a processor for your employer, GuruNow may also act as an independent controller for certain activities described in this policy (such as improving our platform or sending you service communications). We will clarify in this policy when we are acting as a controller in our own right.
     

Who We Are: GuruNow.ai is operated by GuruNow Limited (a company registered in England & Wales). When we mention “GuruNow” (or “we”/“us”). Our contact details are provided in the “Contact Details” section below. If you have any questions about this policy or how we handle your data, you can reach out to us using those details.

Applicability: This privacy policy applies to the use of the GuruNow platform. It also applies to any related services, communications, or marketing activities we conduct. It does not cover other services or websites that we do not control. We may provide links to third-party websites or content – if you follow those, please check their privacy policies (see Third Party Links below).

Updates and Changes: We may update this privacy policy from time to time (see “Changes to the Privacy Policy” below). If we make significant changes, we will notify you via the platform or email. It’s important you read this policy and any updates carefully. Additionally, please ensure that your personal information with us is accurate and up to date – if your details change (like your email or job title), inform your employer or update your profile on GuruNow so we can keep our records accurate.

Cookies and Other Policies: For information about how we use cookies or similar tracking technologies on our website, please see our Cookie Policy (available on our website). This privacy policy should be read alongside any other user terms or agreements that apply to GuruNow’s services.

2. The Types of Personal Data We Collect About You

We collect various types of personal data about you in order to provide and improve our skills development services. The data we collect may include:

Identity Data

This includes information such as your full name, username or similar identifier, and your employer’s name (if applicable). We may also collect your job-related information like your job title, department, or role, especially if your employer provides that to us.

Contact Data

Information that enables us to contact you, such as your work email address. (We might also collect a work location for the purposes of information gathering for engagement purposes.)

Profile Data

Information related to your account and learning profile on GuruNow. This includes your account credentials (like login name, and a password which is stored in encrypted form), and your preferences. It also includes details of the programs or similar you are enrolled in, your progress and performance in those programs (scores, completion status), feedback or badges/certificates you earn, and any personalisation settings in the platform.

Skills Development Interaction Data

This is data generated through your participation in GuruNow’s skills development sessions, especially those involving our AI avatars. For example, audio transcripts of avatar interactions – text records of the conversations or Q&A between you and our AI avatar trainers – and any text chat logs where the platform allows text input. If you use voice input, we process your voice in real time to create a text transcript (the system may record your voice temporarily to convert it to text, but our primary record of your session is the text transcript). We store these transcripts as part of your skills development history. This category also includes behavioural data related to your skills development sessions, such as how you responded in a scenario, choices you made during simulations, the timing of your responses, and other performance indicators that help assess your skills or progress, this data is anonymised. In future we may also process data from your video feed in order to inform our avatars of changes in your mood or body language in response to ongoing conversations.

Usage Data

Information about how you use our platform outside of the skills development conversations themselves. This includes logs of when you log in and log out, how long you spend on modules or sessions, which lessons or activities you click on, and other interaction data. 

Technical Data

Details about the devices and networks you use to access GuruNow. This can include your IP address, browser type and version (for web users), time zone and region, and operating system and platform. For VR usage, it may include device identifiers for your VR headset or controllers and basic device sensor data necessary for the VR experience (such as head orientation and hand motion data used to render and control the virtual simulation). We also collect information through cookies and similar technologies on our website – for example, to remember your login or preferences and to collect analytics about site usage (see our Cookie Policy for more details on what cookies we use).

Communication Data

Details about the devices and networks you use to access GuruNow. This can include your IP address, browser type and version (for web users), time zone and region, and operating system and platform. For VR usage, it may include device identifiers for your VR headset or controllers and basic device sensor data necessary for the VR experience (such as head orientation and hand motion data used to render and control the virtual simulation). Marketing & Preference Data

Your preferences in receiving marketing or other optional communications from us. For instance, if you subscribe to a GuruNow newsletter or opt in to receive tips and updates, we will record that subscription and your communication preferences. Likewise, if you tell us you do not want marketing material, we will note your opt-out choice. This category might include details like whether you opened a particular email (if our email system tracks that) or your preference settings on your account profile regarding notifications.

Anonymised and Aggregated Data:

We also create and use data that is derived from your personal data but is not personally identifying, for certain purposes (explained below). For example, we might aggregate data on how many users completed a specific program or the average score improvement after using the platform for six months. Or we might remove personal identifiers from a batch of avatar conversation transcripts and analyse the common themes. This anonymised or aggregated data does not identify you personally, and we may use it for product improvement, research, and analytics.

Special Category Data: We do not intentionally collect any “special category” sensitive personal data about you (such as information about your health, race, ethnic origin, religious or political beliefs, or biometric identifiers) as part of the regular operation of our platform. Our skills development content is focused on professional skills and scenarios, so we have no need for such information. We ask that you do not share sensitive personal information during skills development sessions or in any communications with us unless it is necessary. If, for some reason, you do disclose any sensitive information (for example, you mention a health condition or membership in a union during a conversation with an avatar), we will handle that data with extra care and security. However, such information is not specifically solicited by GuruNow, and any incidental collection of it would only be used for the purpose of delivering the service to you (and, if not needed, would be deleted or anonymised).

3. How Is Your Personal Data Collected?

We collect personal data from and about you through several methods:

  • Direct interactions (you provide data): You may give us your personal data directly, including:

Account registration and profile setup:

When you (or your employer) register you for a GuruNow account, you provide Identity and Contact Data (like name and email) and possibly some Profile Data. You might also fill out a profile or take an initial assessment, providing information about your skills, interests, or goals.

Using the skills development platform:

As you engage in skills development sessions and simulations, you provide Skills Development Interaction Data (by speaking to or typing to the AI avatar, making choices in scenarios, etc.). For example, whatever you say to the avatar in a leadership simulation is captured as part of delivering the service.

Forms and surveys:

You might fill in forms on the platform (such as feedback forms, surveys, or tests). Any personal responses or opinions you provide in these are collected.

Communications:
If you reach out to us via email, chat, phone or in-app support, you provide Contact and Communication Data (like your email address and the content of your message).

Through your Employer:

If your access to GuruNow is arranged by your employer, they may provide us with personal data about you. Typically, an employer (or an administrator at your company) gives us a list of authorised users to set up accounts. This list may include your name, work email, job title, department, office location, and possibly information like your manager’s name or employee ID. They might also update us with changes (e.g., if you change roles or leave the company, so we know when to deactivate your access). In some cases, your employer might upload additional data – for example, past skills development records or competency profiles – to tailor your GuruNow experience.

Automated technologies or interactions: As you use our website, mobile or VR application, we collect Technical and Usage Data automatically:

On the web and mobile platform, we use cookies and similar technologies to collect data about your equipment, browsing actions, and patterns. This might include your IP address, browser type, time spent on certain pages, and interactions with website elements. Some cookies are necessary for the site to function (e.g., keeping you logged in), while others help us understand how the platform is used (analytics cookies) or remember your preferences. Please see our Cookie Policy for more details on these.

In the VR application, the system will automatically process certain data from your device in order to function. For instance, the app constantly reads your headset’s position and movement to update what you see in real time. We might also automatically track which module you select and your progression through a VR scenario. Some of this usage data (like error logs or performance metrics) might be sent back to us to help us improve the application or fix bugs.

We may also automatically collect interaction logs – for example, a record that you started a conversation with the “Difficult Customer” avatar at 3 PM and it lasted 5 minutes, or that you attempted a quiz question and got it correct on the second try. These logs are captured by the software as part of providing the service.

Third parties or publicly available sources: In general, we do not obtain much personal data about you from third parties for the GuruNow platform. However, a few scenarios include:

Single Sign-On (SSO):  
If you log in via a third-party identity provider (like Google Workspace, Microsoft Azure AD, or your company’s SSO system), we receive information from that authentication process. Typically, this is limited to confirmation of your identity (so we can log you in) and maybe basic profile info like your name or email to match with our records.

Analytics providers:  
We may receive anonymised analytical data from third-party analytics tools (for example, Google Analytics might provide aggregated information such as “X users from the UK accessed the platform this week”). This data usually doesn’t identify individuals, but it helps us understand usage patterns.

Public sources:  
It’s unlikely we’d use public databases for your data in this context. We do not, for instance, collect data about you from social media or marketing databases for use in the skills development platform, unless you separately interacted with us there (which would be covered under communications).

4. How We Use Your Personal Data

We will only use your personal data when the law allows us to. Most commonly, we use it in the following circumstances:

  • To provide our skills development services (Contractual necessity):
    The primary reason we collect and use your data is to deliver the GuruNow skills development platform’s functionality to you. This includes:

Account setup and authentication:
Using your Identity and Contact Data to create your account, allow you to log in, verify your identity, and ensure you are linked to the correct employer or group (if applicable).

Delivering skills development programs and avatar interactions:
Processing the inputs you give and generating outputs in response. For example, when you speak or type to our AI avatar, we use that input to generate the avatar’s reply and guide the scenario. We use your Profile Data and past Skills Development Interaction Data to make these sessions relevant. This processing is necessary to perform the service you or your employer have requested (the micro-learning sessions).

Personalised learning experience:
GuruNow’s platform provides adaptive, personalized skills development. This means we may tailor the content and difficulty based on your previous activities. For instance, if you performed very well on an easier scenario, the AI might move you to a more advanced challenge next time. Or if the system detects you struggle with a particular type of question, it might give you additional practice in that area. This kind of profiling and adaptation is done to fulfil the core service of helping you improve your skills. It is based on our legitimate interest in making the skills development effective (and on contractual necessity, since an adaptive experience is part of what you or your employer signed up for).

Providing feedback and progress tracking:
Using your skills development performance data to give you immediate feedback and long-term progress reports. For example, an AI avatar might give you tips or suggestions right after a conversation based on what you said. Separately, the platform might compile a report of your scores and improvements over time. We use your data to generate these outputs, which are essential for you to see how you’re doing and for your employer or mentor to support you.

Technical operation and support:
Using Technical and Usage Data to ensure the platform works correctly on your devices, and to provide support. For example, we might use your device information and error logs to troubleshoot a VR glitch you encountered, or use log-in timestamps to help investigate if you report “my progress wasn’t saved.” This is both in our contract (to keep the service running) and our legitimate interest (to maintain quality and security).

For our legitimate business interests (balanced with your rights):
We may process your data for purposes that support and improve our business, as long as these interests are not overridden by your rights and interests. These include:

Improving and developing our platform and AI:
We want to make GuruNow as effective and user-friendly as possible. We analyse aggregated usage information and feedback to understand what works and what doesn’t. For example, we might look at data showing that a large percentage of users are failing a particular simulation challenge – indicating it may be too hard or unclear – and then refine that scenario. We might also review anonymised or pseudonymised conversation transcripts to see common patterns (e.g., if many users use a certain phrase that our avatar doesn’t respond well to, we’ll want to teach the AI about it). When we do this, we do not focus on you individually. We either remove personal identifiers or combine your data with others, and we only use the information to improve the platform’s content, features, and AI accuracy. This helps us innovate and stay competitive while still respecting your privacy.

AI model training (using pseudonymised/anonymised data):
Related to improvement, we may use some of the data from your interactions to further train or refine our AI models. For example, by feeding the AI examples of user-avatar dialogues (with personal details stripped out) to help it learn and respond better. Any such use for AI training is done either with completely anonymised data or highly pseudonymised data (meaning the data is altered so it’s not readily linked to you personally). This processing is based on our legitimate interest in improving our AI, which in turn benefits users with more realistic and helpful avatar interactions. We do not use your raw personal data for any AI training that goes beyond improving our own service to you, and we never sell your training data to other AI projects.

Analytics and usage insights:
We use Usage and Technical Data to understand how customers use GuruNow. This helps with business decisions and reporting. For instance, we might measure how often users engage in skills development per week or what the average completion rate of a program is. These insights might be shared internally with our product team or externally in an anonymised way (e.g., telling a prospective client “On average, users saw a 20% improvement in scores after 3 sessions”). Analysing usage patterns also helps us allocate resources (like if a feature is hardly used, we might remove it or improve it). We carry out these analytics under legitimate interests, ensuring the data is viewed at an aggregate level.

Service communications:
We may send you communications about the service that are not promotional in nature, as part of our legitimate interest in keeping you informed (or as part of our contract to support your use of the platform). For example, we might send an email or notification to remind you of a session you scheduled, to inform you of new content added to a program you are taking, or to alert you to important updates like changes in our terms or privacy policy. These communications are necessary for the platform’s operation and your awareness. (Note: You cannot opt out of receiving essential service communications, but see the section on Marketing Communications below for optional messages.)

Ensuring safety and preventing misuse:
We monitor the platform to keep it secure, prevent fraud, and ensure users are following the rules. This could involve processing data to detect unusual activity – for example, noticing if an account is accessed from two different countries at the same time (which might indicate credential theft) or if someone is attempting to extract large volumes of content from the platform. We also enforce our terms of service, which means if someone is using GuruNow inappropriately (e.g., uploading harmful content or harassing the AI avatar with offensive language), we may process those usage logs and take action. This kind of processing is based on legitimate interests (protecting our business and users) and sometimes on legal obligation (complying with laws against illegal content).

With your consent: Generally, we do not rely on consent as our primary legal basis for processing your data, because most of our data use is covered by contract or legitimate interests as described above. However, there are certain situations where we may request your consent:

Marketing and updates:
If you are not already in a business relationship with us directly (for example, if you’re an employee using our service through your company), we will only send you marketing communications if you have actively opted in. This might include newsletters about GuruNow’s latest features, or invitations to webinars and events. If you have a direct relationship with us (say you signed up on your own), we might send you information about similar services that might interest you, but you will always have a clear opportunity to opt out. In any case, we will respect your marketing preferences. We will not spam you – typically, you’ll receive occasional emails or in-app messages, and only if they’re relevant. You can change your mind and opt out at any time. (See Marketing Communications and Preferences below for how to manage this.)

VR advanced features (future consent scenarios):
As of now, GuruNow’s VR experience collects only basic data needed for functionality (see VR-Specific Data below). If in the future we want to introduce features that collect more sensitive personal data via VR – for example, an optional feature that uses eye tracking to gauge your engagement, or a sensor to monitor stress levels during skills development – we would do so only with your knowledge and consent. We would explain what data is being collected and why, and you would have the choice to enable those features. If you don’t consent, your VR experience would just continue with the more basic functionality.

To comply with legal obligations: We may need to process or disclose your personal data to comply with our legal obligations. This includes situations like:

Accounting and tax requirements:
Keeping transaction records (if applicable) for auditing or tax filings.

Legal process and law enforcement:
If we receive a subpoena or court order requiring us to provide data, or if we are required to report certain information to authorities (for example, if a law mandates reporting of certain skills development certification data in regulated industries).

Exercise or defence of legal claims:
In the event of a dispute, we might need to preserve and review data relevant to the issue (e.g., your communications if you had raised a complaint).

In such cases, the basis for processing is complying with a legal obligation placed on GuruNow.
 

We will only use your personal data for the purposes outlined above, unless we reasonably consider we need to use it for another reason that is compatible with the original purpose. If we ever need to use your data for an unrelated purpose, we will notify you and explain the legal basis for that new use (or seek your consent if required).
 

Marketing Communications and Preferences:
We may send you information about new features, content, or services of GuruNow that we think you’d find useful for your professional development. You will only receive marketing communications from us if you have either: (a) explicitly requested them or consented to receive them, or (b) if you are an existing user who we believe has a legitimate interest in similar services (and even then, only in line with applicable laws, such as the “soft opt-in” provisions for electronic marketing). In plain terms, if you’re just using GuruNow through your employer, we won’t start emailing you about unrelated products out of the blue. If you sign up on our website to get updates, or download a whitepaper and agree to hear from us, then you might get our newsletter. In all cases, you remain in control: every marketing email will contain an “unsubscribe” link, and you can also adjust your communication preferences in your account settings or by contacting us. Opting out of marketing will not affect your access to the skills development services or any service-related communications (we’ll still send critical emails like password resets or important notices).

5. Disclosures of Your Personal Data

We do not sell your personal data to anyone. However, we do share your personal data with certain third parties, but only in the ways described below and with appropriate safeguards in place. These are the types of parties with whom we may share data:
 

  • Your Employer (if applicable):
    If you are accessing GuruNow through a corporate program, your employer will have access to certain information about your use of the platform. Specifically, authorized individuals at your company (such as your manager, HR personnel, or training administrators) can receive reports or access dashboards showing your skills development progress. This may include details like which programs you have started or completed, your scores or performance evaluations, and possibly qualitative feedback or transcript excerpts from your sessions. For example, your manager might be able to see that you scored 8/10 in a negotiation skills simulation, or see a summary that says “You handled the customer complaint scenario with moderate confidence.” We share this data so that your employer can support your development, ensure required skills developments are completed, and measure the effectiveness of their skills development programs. Your employer is responsible for handling any personal data we share with them in line with data protection laws and their own privacy policies. If you have questions about how your employer uses your skills development data, please refer to your employer’s privacy notice or HR department.
     

  • Service Providers (our data processors):
    GuruNow uses a number of trusted third-party service providers to operate our business and platform. These providers only process your data on our instructions and for the purposes we specify, and they are not allowed to use your data for their own purposes. Key categories of service providers include:

Cloud Hosting and Storage:
We host our platform and databases on cloud infrastructure provided by companies like Amazon Web Services (AWS) or other similar providers. This means that your personal data (including profile information, skills development records, and transcripts) might be stored on servers maintained by these providers. We ensure any such provider has robust security measures and is contractually bound to protect your data.

AI and Software Tools:
GuruNow’s avatars and simulations might utilise third-party AI engines or libraries to function. For instance, we use a service like OpenAI (the company behind GPT technology) and other AI vendors to help generate natural language responses during avatar interactions. If we do this, the content of your conversation (what you say to the avatar, and the avatar’s replies) may be sent to that AI service for processing in real time. We contractually require that any AI service we use not store or use your data beyond the immediate need of serving our application. We also strive to send minimal data – for example, we might replace your name with a generic user ID before sending your input to an AI API, where feasible.

Analytics and Performance Monitoring:
We use tools to monitor the performance of our platform and understand usage (e.g., an analytics platform to see overall user engagement, or a crash reporting service that alerts us if the app malfunctions on a device). These tools might automatically collect Technical Data (like device type, OS, and error logs) or aggregated usage data. We configure them to avoid collecting more data than necessary. For example, our web analytics might be set to anonymise IP addresses.

Communication Services:
If we send emails, we might use an email service provider to actually deliver the messages. These providers will have access to your email address and the content of the email. They are only allowed to use that information to send the emails on our behalf. Similarly, if we have in-app chat for support, the chat platform provider would process what you type in the chat.

In all cases, we have Data Processing Agreements in place with our service providers to ensure they treat your personal data with the same level of care and security that we do. They cannot sub-process or further disclose your data without our permission, and they must assist us in honouring your rights (for example, if you ask us to delete your data, our processors must delete it from their systems as well).

  • Integration Partners or Related Services: In some contexts, GuruNow might offer integrations with other services or work with partners. For example:

If your employer requests it, we might integrate GuruNow with their Learning Management System (LMS) or HR system. This could mean automatically sending data like your program completion status or scores to that system. In doing so, we would share only what is necessary (e.g., an employee ID, program ID, and completion flag) and under the controls of that employer’s system.

We might partner with a third-party content provider for certain programs. If so, and if you enrol in that module, we might need to share your name or user ID with that provider to give you access. Those providers would be contractually obligated to protect your information and use it only for providing the skills development content.

If we ever enable a feature where you can, say, earn an external certification or badge through GuruNow that is issued by a third party, with your request we would share the necessary info with them (such as your name and the fact you completed the required skills development) to issue that certification.

  • Corporate Affiliates:
    We may share your data within any part of the GuruNow group on a need-to-know basis. For example, if GuruNow has a parent company or subsidiary helping to provide the service, your data might be accessed or processed by that affiliate. Any such affiliate will follow the same data protection rules and this privacy policy. We ensure internal transfers of data are covered by an intra-group data protection agreement, so that all entities are required to protect your data to the same standard.
     

  • Professional Advisors:
    We may disclose your data to our lawyers, accountants, auditors, or insurers if necessary. This would typically be for compliance, legal claims, or audit purposes. For instance, if a legal issue arose (like a user alleging harm from our service), our legal counsel might need to review relevant user data. Or our accountants might see transaction records that include personal data while performing financial audits. These parties are bound to confidentiality and will only use the data for the specific professional services they’re providing to us.
     

  • Business Transfers (e.g. merger or acquisition):
    If GuruNow Limited ever merges with another company, is acquired, or sells a portion of its business or assets, personal data of users could be one of the assets transferred to the buyer or new entity. For example, if another company acquires GuruNow to continue the service, your data will likely be transferred so that service can continue under the new owner. In such events, we will ensure that the new owner is contractually obligated to respect the terms of this privacy policy (or provide notice of any changes). We would notify you of the transfer and any choices you may have at that time. Your data would remain subject to appropriate confidentiality and security obligations even during any due diligence phase leading up to a possible transfer.
     

  • Legal Compliance and Enforcement:
    We may share information with third parties when compelled by law, or to protect our rights. This includes:

Law enforcement and government authorities:
If we are required by law to disclose data (for example, under a court order, or a lawful request as part of an investigation), we will comply after verifying the request’s legitimacy. We might also report information to law enforcement if we believe in good faith that someone is using our platform in a way that poses a safety risk or is unlawful (as an example, if someone were using the platform to engage in criminal harassment, which is unlikely but we include for completeness).

Regulators:
If a data protection authority or other regulator requests information or is investigating a complaint, we may share relevant data with them.

Litigation purposes:
If there’s a lawsuit or legal dispute, we might need to disclose data relevant to the case (e.g., in response to a legal discovery process or to enforce our contract terms).

  • Others with Your Consent:
    In any scenario not covered above, we will seek your consent before sharing your data with someone. For example, if you personally ask us to share your skills development record with another service or individual (maybe you want to send your “learning passport” to a recruiter or new employer), we will do so only with clear instruction from you.
     

When we share data, we adhere to the principle of data minimisation – only sharing the data that is necessary for the purpose at hand. We also ensure appropriate safeguards are in place, such as confidentiality agreements with vendors and secure transfer methods. If any of our service providers or partners are located outside of your country, we take steps as described in the next section (International Transfers) to protect your data during those exchanges.

6. International Transfers

GuruNow is a UK-based service, but the nature of cloud services and the global internet means that your personal data may be transferred to, or accessed from, countries outside the United Kingdom. For users in the European Economic Area (EEA), this could also mean transfers outside the EEA. We want to be transparent about such transfers and the measures we take to protect your data in those cases.
 

Typical international transfer scenarios:
 

  • Our main servers might be in the UK or EEA, but we may use backup servers or cloud services in other regions (for example, the United States). If you are outside the UK, your data will obviously travel to the UK where our service is hosted, which is an international transfer from your perspective.
     

  • Some of our third-party providers (mentioned above) are based in or store data in other countries. For instance, if we use Amazon Web Services, we might choose a European data center for primary storage, but certain operations or backups could occur in the US or elsewhere. Similarly, if we use OpenAI for processing avatar conversations, their servers might be in the US.
     

  • Our internal teams may work from different countries. If a GuruNow support agent in an EU country or in India needs to access the system to assist you, that’s also a form of data transfer (your data being accessed from another country).

7. Your Legal Rights

Under data protection laws (such as the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018), you have several rights regarding your personal data.   • Right to Access: You have the right to request a copy of the personal data we hold about you, and to check that we are lawfully processing it. This is sometimes called a “data subject access request.” For example, you can ask us to provide a copy of your profile information and any skills development data associated with your account. This could include, if you wish, copies of your conversation transcripts with the AI avatars, your completed program history, or a summary of your achievements (a sort of skills development "passport" of what you have accomplished on GuruNow). We can provide this in a common electronic format. GuruNow also strives to give you direct access within the platform to much of your data (for instance, you may be able to review your own skills development history, scores, and transcript excerpts as part of your account).
     

  • Right to Rectification: If any personal data we hold about you is inaccurate or incomplete, you have the right to have it corrected. You can update some of your information via your profile settings (for example, you might be able to change your display name or correct an email address typo). For any data you cannot update yourself, you can request that we correct it. If your employer manages your information, you may also contact your employer to have them send us updated details (for instance, if your job title changed, your employer can inform us so we update the skills development assignments accordingly).
     

  • Right to Erasure: This is also known as the “right to be forgotten.” You can ask us to delete or remove your personal data in certain circumstances. For example, if you have finished using GuruNow and want all your personal data removed from our systems, or if you object to us processing certain data (see the right to object below) and we have no overriding legitimate grounds to continue. Do note that this right is not absolute – we may not be able to delete data that we are required to keep by law or that is necessary for defending legal claims. Also, if you’re using GuruNow via an employer, we may need to coordinate with them regarding deletion (since they might need records of your skills development). If you request erasure of key data (like your user profile or skills development records) while your employer is still using GuruNow for you, this could affect your ability to continue with the skills development service. We will inform you if that’s the case and likely refer you to your employer. In any event, we will do our best to comply with a valid erasure request and will let you know what we have done or if we need to retain anything.
     

  • Right to Restrict Processing: You have the right to ask us to suspend or limit the processing of your personal data in certain scenarios. This means we can still store it, but we shouldn’t use it or share it further until the restriction is lifted. You might request this if, for example, you believe your data is inaccurate and you want to halt processing until we verify and correct it. Or if you have objected to our use of your data (see below) and we are considering whether our interests override yours. Another example is if we no longer need the data but you want us to keep it for you in connection with a legal claim. When processing is restricted, we will not use the data except for storage and to inform you or for certain legal reasons. We’ll also inform you before lifting any restriction.

If you wanted to, for instance, download your skills development history and import it into another learning platform, we would try to provide the data in a useful format (like a CSV file with your programs and scores). Or you could simply keep it for your own records. We would send the data to you, or directly to another controller if you request and if it’s feasible (direct transfers are tricky, but we’ll accommodate if we can and it’s secure to do so).
     

  • Right to Object: You may object to certain types of processing of your personal data when we are doing it based on legitimate interests or performing a task in the public interest (we don’t do the latter, so it’s mostly legitimate interests for GuruNow). You also have an absolute right to object to your data being used for direct marketing. For example, if we send you marketing emails based on our legitimate interest in promoting our services, you can object (which in practice is the same as unsubscribing) and we will stop. If you object to other processing (say, you object to us using your transcripts to improve the AI, which we consider a legitimate interest), we will evaluate your objection. We will stop or limit the processing unless we have compelling legitimate grounds that override your rights or if we need to keep processing for legal claims. Generally, we will err on the side of respecting objections – if it’s not something critical, we’ll stop processing that data in the way you’re uncomfortable with. Bear in mind, if you object to something essential (like us processing your data to provide the service), we might have to treat it as a request to delete your data or deactivate your account, because we can’t realistically provide the service without processing that data. We’ll discuss options with you if that situation arises.
     

  • Right not to be subject to automated decisions producing legal effects:
    Data protection law safeguards individuals against being subject to decisions made solely by algorithms or machines that have significant effects on them, without human intervention. As noted earlier, GuruNow does not make any decisions of that nature about you – our AI might give you feedback or scores, but those are for your benefit and for skills development purposes, not to determine something like your employment status or credit worthiness. There is always a human context for how your skills development results are used (your employer, for example, would not typically make an employment decision based solely on an AI-given score without any human review or context). Therefore, this right is more about informing you that you won’t be subject to such decision-making by us. If you feel that any outcome of using GuruNow has affected you in a serious way and it was based purely on an automated process, you have the right to request human review of that decision. We will certainly listen to any such concerns and ensure a person examines the situation.
     

  • Right to Withdraw Consent: In the limited cases where we are relying on your consent to process your data, you have the right to withdraw that consent at any time. For example, if you gave consent to receive our newsletter, you can unsubscribe (withdraw consent) and we will stop that processing. Withdrawing consent will not affect the lawfulness of any processing we carried out before you withdrew, and it won’t affect processing under other legal bases (so if you withdraw consent for marketing, we might still process your data under contract to provide the core service). If you withdraw consent for something that is necessary for us to provide the service (though we usually don’t use consent for such cases), we’ll let you know if that means we cannot continue the service in the same way.
